AI-Qualified Reply-to-Deal Pipeline
AI-Qualified Reply-to-Deal Pipeline

This automation reads replies from one or more Gmail inboxes, classifies intent with OpenAI, and—only for contacts already marked in campaign—automatically creates a Pipedrive deal when the response shows interest. It looks up the person in Pipedrive, resolves properties, gates on an in_campaign flag, analyzes the email with a structured JSON prompt, parses the AI result, and conditionally creates the deal with the contact’s name. Multi-inbox support is built in via duplicate Gmail triggers feeding a common parsing path.
How it works
-
Gmail triggers: One or more inbox listeners hand off raw message text for processing.
-
CRM lookup: Search and fetch the Pipedrive person from the sender’s address; resolve custom fields like
in_campaign. -
AI qualification: A chat model evaluates the reply and returns strict JSON
{ interested: yes/no, reason }; a Code node parses it into fields. -
Deal creation: If
in_campaignis true andinterestedisyes, a deal is created titled with the person’s name.
Why it’s a game-changer
-
Eliminates manual triage: No more reading every reply to decide next steps.
-
Improves pipeline hygiene: Deals appear only for opted, campaign-tracked contacts.
-
Scales with outreach volume: Add inbox triggers as your campaigns grow; the qualification logic stays consistent.
-
Faster speed-to-meeting: Interested leads convert to tracked deals within seconds of replying.
Ideal for SDR/BDR teams and founders running outbound who want automatic qualification and CRM creation without sacrificing control.
Reading, interpreting, and creating deals from cold-reply threads can consume 1–2 hours/day across a small team. At $35–$60/hour, that’s $700–$2,400/month in labor value—before considering faster follow-up and fewer missed opps. This build includes multi-inbox handling, CRM gating on in_campaign, structured AI classification with JSON parsing, and conditional Pipedrive deal creation—packaged as a reliable, production-ready pipeline.
